Price intelligence vs manual monitoring: how much does it cost not to automate

Many Romanian retailers still monitor competitor prices manually: an employee opens each site, notes the price in an Excel file, and sends the report at the end of the day. This approach has a hidden cost larger than it first appears and produces information with a lag that makes the difference between reacting in time or losing sales.

Time cost for manual monitoring

The real cost of an employee is higher than the net salary, because it includes the contributions and taxes paid by the company. If part of their working day goes to collecting prices, that share of their monthly cost no longer goes to other tasks. The calculation is simple: number of products x number of sites x the time needed to open a page and note the price. For example, if you have 200 products to check on 6 sites, that is 1,200 prices to look at on every round. Assuming, as a working hypothesis, 15 seconds per URL opened and noted (measure your own time), that comes to about 5 hours for a single full round.

The risk of reacting too late

Daily manual monitoring means the information you have can be up to a day old. Marketplace prices can change several times a day, and if a competitor lowers their price in the morning, you may only find out in the evening, after they have already had the price advantage during the day. An automated system checks the pages at a scheduled interval, every 6 hours by default and adjustable per product within your plan limits, and alerts are evaluated at each check. It is not real time, but it is a regular rhythm with no manual effort.

Worked example: 200 products x 6 competitors

  • Products to monitor: 200 (working assumption)
  • Sites per product: 6, for example eMAG, Altex, Flanco, PC Garage, Evomag, Cel.ro
  • Prices to check per round: 1,200
  • Time per manual check: 15 seconds (assumption), which is about 5 hours per round
  • Cost of the time: the working hours multiplied by your employee's hourly cost, for every round you do
  • With an automated tool: checks run on a schedule, with no manual work for collection; your time is left for decisions

The same 200-product catalogue, checked by hand and with a tool (figures are working assumptions)

How to judge the return on a price intelligence tool

A price intelligence tool is worth it if the time you save and the sales you protect exceed the cost of the subscription. We cannot promise a specific return: it depends on your catalogue, your margins and how fast you react. Compare the cost of the manual collection hours with the subscription and, separately, track how many price decisions you made faster thanks to the data. You can also use the recommended price, which shows a level calculated by the strategy you choose (below the cheapest competitor by a percentage, at the median, or as a margin over cost), without going below the cost floor. You approve it, and the price reaches your system through a signed webhook or directly on shops built on 4buildsite and 4shopy; 4pricing does not write to marketplaces.

What you cannot do manually

  • Alerts after every scheduled check, without opening the pages — manually, you only find out when you look.
  • Price history kept for every tracked product — manually, you have no memory of price evolution unless you keep the records yourself.
  • A recommended price calculated from your position against competitors and the minimum margin you set.
  • Flagging out-of-stock competitors — manual checking at scale is hard to keep up to date, and in the group comparison out-of-stock competitors are excluded from the calculation.
